My Exact Weekly Planning Routine (That Keeps My Business Growing in Just 4 Hours a Day)
I’ve been an entrepreneur for almost a decade now, so I feel like I’ve gotten a pretty good idea of what needs to be done to grow my business.
But, believe me… the first year or so after I had quit my teaching job to step full-time into entrepreneurship, I REALLY struggled with what to focus on every single day.
I’d sit down at my computer in the morning, check my email, and then putz around for a little bit because I wasn’t quite sure what my priorities were for the day.
And guess what?
I couldn’t understand why my business wasn’t growing.
Well, it’s hard to grow a business when you don’t know what your actual priorities are each day.
Now, I sit down at my computer every day and know exactly what I’m focusing on… actually, I know BEFORE I even start my work day.
It doesn’t matter how many calls I have that day, or if I have a launch or giant project I’m working on…
I know before even the start of the week what needs to be done and WHEN it’s going to happen.
Here’s my exact weekly planning routine and how I structure my days so that I’m focusing on the RIGHT things every day and consistently growing my business…

The one thing that made ALL the difference in knowing what to do every day (so I didn’t just spend my day shuffling papers around my desk) was creating a weekly planning routine.
Before any of my SYS Planner customers even start looking at their weekly schedule, I ask them to create a weekly rhythm. It's literally the first step inside the planner – because without it, even the best planning tool in the world won't help you.
What this looks like:
Each day, I have a “theme” for the day. Whether it’s client calls or creating blogs or email campaigns, I want to know what the focus is for the day.
This is the same for me every single week, so it becomes a simple rhythm that allows me to know what I’ll be focusing on each day.
This is what MY weekly rhythm looks like:
Monday: CEO Day
While I do host an accountability call on Mondays, this day is primarily for me to look over my KPIs (key performance indicators) to see what is working (and what isn’t) so I get a good idea of where I need to be focusing my efforts to make more sales each week.
For example, if my sales page is getting traffic but isn’t converting, I know that I need to spend the rest of my time that day making some updates to my sales page.
Or, if my sales funnel emails are getting opened but people aren’t clicking on them, I need to spend some time adjusting the messaging.
Mondays are all about reviewing + refining to help me make more sales each week.
Tuesday: Collabs + Marketing Emails
Tuesdays are all about getting out there and marketing my business.
I have my call schedule open for any podcast or collaboration opportunities that might come my way. In addition, I spend time on Tuesdays writing marketing email campaigns to be scheduled for the next week.
I am NOT a last minute person, so I want to make sure I have everything done ahead of time, which means having a day to work on writing those emails and getting them scheduled (or handing them off to a VA to schedule them for me).
Wednesday: Projects
Wednesdays are a strict NO CALL day because I want to have a dedicated time to work on bigger projects in my business.
Some weeks, this looks like writing emails for a sales funnel. Other weeks, it might be creating monthly content + training for my SYS Support members (that's my monthly membership for female entrepreneurs).
I just want to make sure I have a day where I can be hyperfocused on a BIGGER project so that I’m not distracted or get interrupted halfway through because I have to hop on a call.
Thursday: Client Calls + SEO Content
I host 2x monthly SYS Support calls that ALWAYS fall on a Thursday. As an introvert, calls take a LOT of energy for me, so I like to keep them toward the end of the week (you’ll see why when we get to Friday). These are typically about an hour long, and then I can work on the rest of my weekly rhythm tasks…
Writing blogs like this (yes, I AM writing this on a Thursday after one of my SYS Support calls… with a sick kiddo at home too), or if I already wrote my monthly blog post, I review + update some old ones and create pins to get scheduled to Pinterest.
This is my LONG TERM visibility strategy and one of the ways I am always getting traffic and eyeballs on my website, new leads on my email list, and people buying my planner.
Friday: Weekly Planning + Reset Routine
If you’ve seen my weekly series over on TikTok, you know Fridays are all about resetting for the week.
I want to spend my weekends doing NOTHING… or at least doing the things I WANT to do, not the things I feel like I HAVE to do (like cleaning my house, planning for the week, working, etc.).
I spend a few hours on Friday NOT doing business work... I'm getting groceries, cleaning the house, and doing my weekly reset so I'm ready for the week ahead.
By 2PM (when I have to go pick up my daughter from school), my house is spotless (believe me, that lasts about an hour tops), I have everything we need for meals for the next week, and I know exactly what to focus on every single day next week.
And my weekend can be spent scrolling social media, baking sourdough, or heading to grab a beer at one of the local craft breweries with my husband.

Now, I know what you might be thinking…
Do you actually get everything checked off your to-do list each week with this weekly rhythm?
Not EVERY week, but I’d say a good 70-80% of the time.
I CAN do some catch-up work on Friday if I choose to, but I have gotten really good at delaying anything that I know I will have time for later (that’s why my weekly reset is SO important).
And the other thing is…
Because of my weekly rhythm, I am able to get everything done to help me grow my business working just 4 hours a day… which is great because that’s about all the time I have, from when I get my youngest on the bus for school to when I need to leave the house to go pickup my oldest (and still have time to eat some lunch).

You don't need more hours in the day. You need a weekly planning routine so your brain isn't making that decision from scratch every single morning.
